Schedule outpatient clinic appointments, surgical cases, and ancillary diagnostic tests. Coordinate with a range of services, including Rehab, Social Work, Radiology; Neurology; Ear, Nose, and Throat (ENT); Orthopaedics; Cancer Center; and other groups to facilitate referrals for further consults and/or treatment. Arrange hospital admissions, which include providing diagnostic, procedure, and insurance information, as well as receiving and sending medical records to and from outside hospitals, offices, and clinics. Communicate with patients regarding insurance authorization issues and obtain authorizations for emergency and add-on cases. Remind patients of appointments and send letters and instructions to new patients. Determine dates of service across all units and ensure follow-up appointments are made. Handle patient questions and ensure all relevant MRIs and CTs are scheduled. Utilize Epic, Shared Medical Systems (SMS), and other healthcare IT platforms daily.
Accompany the team into the Neurosurgical Specialties Clinic. Interact with patients to obtain demographic and financial information, verify insurance coverage, and secure approvals from third-party payers for visits and procedures. Schedule patients for Pre-op Anesthesiology Clinic and coordinate additional tests with Radiology and Laboratory departments. Assist with incoming and outgoing referrals to ensure patients are seen by other services as efficiently as possible.
Manage incoming correspondence, determine appropriate actions, and draft responses. Liaise with attorneys to arrange depositions, including gathering necessary medical records and films. Maintain calendars, arrange travel, and schedule meetings (local, national, and international). Support workshops and conferences, including coordination of schedules and logistics. Prepare necessary paperwork for visitors and medical students (HIPAA training, patient observation forms, IRB forms, etc.). Administer quality of life (QOL) questionnaires and other assessments for clinical and research purposes.
Respond to incoming calls from patients, physicians, attorneys, insurance carriers, and healthcare personnel. Address inquiries directly or forward them to the appropriate party (resident, ARNP, PA, etc.). Support the scheduling of new patients with neurosurgical or oncologic disorders, based on departmental referral protocols.
