Job Description:

Provides advanced administrative support to the Associate and Assistant Vice Presidents for Student Life. Coordinates meetings and manages calendars, independently screening and prioritizing appointment requests based on necessity and significance. Handles travel arrangements and assists with event planning as needed. Responds to inquiries and engages in daily interactions with various UF offices, administrators, faculty, staff, students, and parents on behalf of the AVPs. Offers administrative support to the Vice President for Student Life in the absence of the Executive Assistant II. Identifies creative solutions to problems and issues arising in the daily administration of the Vice President’s Office

Coordinate student and faculty appointments for joint and presidential committees, various boards, and overall university committee selections, ensuring compliance with university and department/college policies and procedures. Supports the coordination of the prestigious student awards application process for the UF Hall of Fame. Serves on the Steering Committee for the  UF Campaign for Charities. Processes student scholarships and collaborates with the Office of Student Financial Aid and Scholarships to resolve financial aid conflicts. Handles the processing of Superior Accomplishment and Division Awards.

Coordinates and oversees student assistants, including hiring, training, approving payroll, assigning tasks, and providing daily supervision. Assists the Executive Assistant II with human resource transactions for the VP Office, such as hiring and terminations in PeopleSoft. Support the hiring process for full-time staff in the VP Office, Marketing and Strategic Communications, and the Division of Student Life Information Technology. Independently identifies and resolves HR issues for departments supported by the VP’s Office staff. Serves as the Division liaison to Enrollment Management to promote the Federal Work-Study program. Collaborates with units to share best practices for hiring FWS students, tracking their hours, and reporting on salary savings related to the FWS program.

Manages the student conduct appeals process by answering student inquiries, assigning appeals to the appropriate personnel, and ensuring all documentation and decisions are accurately communicated to the student. Reviews sponsorship contracts for accuracy and oversees the financial processing of sponsorship funds. This includes making Foundation deposits, requesting Foundation transfers, and processing journals to transfer funds for the receiving units.

Manages budgets for the Vice President's office and several small units, collaborating with each unit to execute payroll distributions for new hires, changes, and offboarding. Responsible for Tier 1 Monthly Financial Reconciliations and identifying budget-to-actual variances. Utilizes Enterprise Analytics and other system reports to research and resolve issues, leveraging Excel to present clear and comprehensible data to unit leaders. Hosts monthly meetings with units to review Monthly Financial Reports.

Serves as the DSA and Asset Custodian for the Vice President’s Office and other units as needed. Research information for purchases, obtains quotes, and creates purchase requisitions. Handles p-cards, travel arrangements, and general ledger journals. Applies critical thinking to research and resolve complex issues. Manages Lenel access to the VP suite.

Develops and implements processes and workflows to efficiently maintain day-to-day operations. Periodically reviews operating procedures and recommends changes to the Executive Assistant. Performs other duties as assigned. 

Expected Salary:

$60,000

Minimum Requirements:

Bachelor’s degree and three years of relevant experience or an equivalent combination of education and experience.
