Job Description: |
The UF Department of Pediatrics is seeking a dynamic and self-motivated Human Resources Generalist II to join our team. This position works with the Pediatrics HR/Payroll Manager and department leadership and other HR team members to review and process HR onboarding and offboarding actions for TEAMS, OPS, Graduate Assistant’s, Students, and other assigned staff groups, manage processes for a variety of HR personnel actions, and assist Hiring Managers with recruitment actions, as requested. This position will also generate and review assigned reports to confirm office compliance with performance standards and evaluate opportunities for improvement.
Duties include:
Recruitment & Hiring:
- Alongside the HR/Payroll Manager this position acts as the main point of contact for the coordination and workflow organization for the department recruitment process.
- Provide administrative review of new positions or requests to fill vacant positions for their assigned divisions covering TEAMS, OPS, STAS, FWS, GA and Post-Doc salary plans. Processing and reviewing their assigned division’s hire related forms and related documents for accuracy and oversee the approval process of such actions such as hire requests, position description updates, organization chart maintenance, and communication and justifications for new positions.
- Support Hiring managers by posting vacancies in Page UP, reviewing applicant pools, assisting with interview process, and reference checks.
- Once a candidate is selected, the incumbent will be responsible for managing and completing the new hire process for the new staff as well as all communications and actions of the onboarding process to the department.
Divisional HR Action Processing:
- Review and track of all the HR functions within their assigned divisions. This can include forms and actions such as: special payment increases; HR 600s; Position Updates; distribution updates & PDRRs; FTE changes; supervisor updates; employee job edits; LOAs; and employee terminations.
- The Incumbent will also be the point of contact for HR action advice for their assigned divisions.
Payroll/Timekeeping:
- Operate as the time reviewer for their assigned divisions ensuring compliance with UF timekeeping standards. Responsible for assisting supervisors and Divisional Administrators with bi-weekly time approval and any payroll related questions. Acts as a back-up time approver for assigned divisions.
Process Review & Training:
- Assist in the training of new HR/Payroll personnel and develop and maintain training maps for key administrative positions within the department to ensure access to user roles and systems needed to complete position tasks within the PeopleSoft system.
Department FMLA Coordination:
- Responsible for FMLA correspondence, documentation, and providing staff and faculty with guidance on the UF FMLA process for the Department of Pediatrics. Processing updates of staff and faculty job records when employees go on FMLA leave and when they return to work.
HR Reporting:
- Generate and review periodic HR and payroll reports using Enterprise Analytics, and Excel.
Department Security Administrator:
- Functions as one of four Departmental Security Administrators

Expected Salary: |
$60,000 - $65,000 annually; commensurate with education and experience

Minimum Requirements: |
Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications: |
- Prior working experience in a HR capacity at a medical education and or higher education system.
- Prior healthcare recruitment experience
- Ability to timely meet assigned deadlines
- Ability to review forms and documents with a high level of quality at all times
- Ability to critically evaluate situations
- Ability to independently make decisions, operating within policies, laws, rules, and guidelines
- Ability to plan and organize work assignments
- Professional working knowledge of Microsoft and Adobe products
- Ability to display professional written and verbal communications skills
- Strong interpersonal skills
- Comfortable working in an open office environment
- Ability to productively handle multiple tasks and projects of confidential nature
