Job Description: |
Collect, describe, code, record, preserve, retrieve and report on documents and data related to non-salary administrative/overhead expenses. Audit all vendor invoices to ensure compliance with departmental expenditure policies. Resolve discrepancies as required. Initiate contact with vendors on related issues.
Responsible for drafting, finalizing, and dispersing payments for all allocated and non-salary administrative/overhead expenses. Upon receipt of completed departmental financial payment document, issue check request document and then issue checks for all such expenses. Post all expenses to the check register and to the appropriate expense spreadsheet journal.
Preserve all claims financial data. After cross-checking multiple databases for accuracy, prepares and maintains detailed files for claim financial data.
Maintenance of Administrative Files: Creates, organizes, and maintains a wide array of administrative files, including but not limited to the payment records of external vendors and other financial and business services files. Responsible for the timely filing of materials,as set forth in the current filing guidelines, and maintaining the accuracy and accessibility of files.
Perform other functions required to carry out the financial and business services related operations of the organization both of a routine nature and by virtue of special assignments which may be routine or complex in nature. Responsible for maintaining long distance records and issuing invoices for personal calls designated by employees. Responsible for issuing invoices to employees for personal FedEx charges. Responsible for copiers and fax machines maintenance contracts.

Minimum Requirements: |
High school diploma or equivalent and one year of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

Exceptional verbal and written communication skills; basic practical knowledge of computers and typing; ability to understand and follow written and oral directions; ability to assume responsibility for multiple time-sensitive projects; ability to assess needs and prioritize; detail oriented, accuracy and flexibility are musts; self-motivating; ability to function at a professional level; ability to maintain integrity of highly confidential information.
