Undergraduate Advising Responsibilities • Developmental advisement of undergraduate (UG) students in Biological Engineering and Agricultural Operations Management and UF Preview advisement for incoming freshmen & transfer students. Coordinate with UG Faculty advisors on UG programs and communications. • Work with UG coordinators regarding updates to programs and curriculum as changes are approved from ABE Curriculum and ABET committees. Serve on other departmental committees as assigned. • Conduct degree audit review and adjustment; change of major; scheduling special topics and individual work courses; drop/add; grade/title changes; undergraduate honors thesis; scholarship applications; transient student credit; review of all degree audits for certification of graduation; complete UF petition forms. • Review transfer and certificate applicants in admissions system and process applicants. • Attend monthly meetings of HWCOE and CALS Undergraduate Staff Advising Councils. • Learn and adhere to UF and college-specific policies and procedures for the College of Agricultural and Life Sciences (CALS) and the Herbert Wertheim College of Engineering (HWCOE). • Respond to web/mail/phone inquiries related to ABE undergraduate programs.
Graduate Advising Responsibilities • Responsible for reviewing all applications and materials for prospective graduate students for ABE Department. Coordinate all activities for review and admission of graduate students. • Serve on ABE graduate committee and prepare agenda and minutes. Prepare summary of applicants for presentation at meetings. Participate in HWCOE and CALS graduate advising council meetings • Review graduate and certificate applicants in admissions system and process applications. • Write letters of admission/denial for prospective graduate students. • Prepare and send DocuSign exam forms for MS & PhD students. • Input and update all GIMS information related to supervisory committees, degree programs, exams, and deficiency issues. • Input and update all Campus Solution information related to student milestones and degree programs. • Review approved plans of study to certify graduation requirements have been met. • Write and submit all curriculum, financial, and admission petitions related to graduate students. • Process transfer of credits from prior MS programs for admitted/enrolled students. • Enter contact information into prospective student database and update current graduate student database each semester. • Co-organize and conduct departmental graduate orientation. • Help resolve issues and provide information related to holds, fees, waivers, graduation, residency, and other issues specific to graduate students. • Assist on Graduate Student Organization committees and meetings and events. Update graduate catalog information annually.
Departmental Advisor Responsibilities (Applies to both graduate and undergraduate programs) • Use functions in Campus Solutions, GIMS, SLATE, AdAstra, Sharepoint, DocuSign, Enterprise Analytics and GatorEvals and other software/database systems as needed to conduct advising activities including but not limited to: Degree audit review/adjustment; add/remove holds; drop/add; registration; Exams; Milestones; Holds; Course Scheduling; Room Scheduling; Grading; Certification of graduates; Graduate Admissions; Transfer Admissions; Certificate Admissions; Graduate data (committee, exams, minors, degree program changes, deficiencies); Academic Activities Reporting; Instructor Evaluations; Canvas websites and announcements • Submit change of grade/title for graduate and undergraduate students. • Serve as departmental liaison to HWCOE, CALS, graduate school, registrar, admissions office, and other UF departments for ABE programs and students. • Serve as liaison between UF, CALS/IFAS, HWCOE, and the department to keep abreast of regulations, procedures, and opportunities. Must understand and adhere to college-specific policies and procedures for the College of Agricultural and Life Sciences and the Herbert Wertheim College of Engineering. • Coordinate textbook entry for all undergraduate and graduate courses. • Develop and maintain ABE Undergraduate and Graduate Canvas information websites. • Develop, distribute, and collate departmental exit, employer, internship, and scholarship on-line surveys. Provide summary reports annually to the chair on internships. • Maintain shared files that can be accessed by the chair and others as needed as related to student or course information following all UF guidance. • Needs to be able to travel and drive state vehicle and/or rental cars.
