The UF Health Cancer Institute is the 72nd NCI designated cancer center and the only one at a public university in the State of Florida. As a matrix cancer center, we span all 16 colleges of the University of Florida, pulling together a world-class, multi-disciplinary membership of over 350 faculty and 150 staff to address the challenges of the cancer burden faced by the population we serve as we work together to find a cure.
As an Administrative Specialist II at the UF Health Cancer Institute (UFHCI), you will be responsible for a range of activities supporting general administrative needs in one of our specialized units. This requisition includes two distinct roles, one supporting senior and executive leadership center wide while also facilitating IT infrastructure needs of the UFHCI and the other supporting our research programs and sponsored initiatives managed by our Research Development team. Success in either role will require strong organizational and communication skills, a proven commitment to customer service, and the ability to work effectively both independently and in collaboration with diverse teams and stakeholders.
Candidates selected for the Admin & IT Operations role will be responsible for the following:
- Coordinating asset and software management processes for UFHCI technology resources, including IT equipment purchases, inventory tracking, warranty repairs, and software license oversight.
- Serving as primary IT liaison, providing troubleshooting, help desk support, and coordination with UF and UF Health IT partners to ensure timely resolution of technology and AV needs.
- Managing user access requests, telecommunications set-up, and technology onboarding/offboarding for faculty, staff, and students across the Center.
- Providing high-level administrative support to UFHCI leadership, including meeting planning, event logistics, communications, and maintenance of SOPs, policies, and resources.
- Overseeing travel coordination, office support functions, and issue resolution, ensuring compliance with UF/UF Health regulations and smooth operations across the Center.
Candidates selected for the Research Development role will be responsible for the following:
- Managing administrative and operational activities for the UFHCI's programs and working groups, including maintenance of official charters, member engagement, and coordination of group objectives.
- Providing high-level administrative support to UFHCI leadership, including meeting planning, event logistics, communications, and maintenance of SOPs, policies, and resources.
- Coordinating fiscal activities and travel on behalf of the UFHCI's research programs and working groups.
- Identifying and tracking programmatic outcomes and metrics, assisting with the collection, organization, and distribution of reports related to group productivity, outcomes, and research metrics to leadership.
- Working closely with the Conferences/Events team to coordinate logistics, fiscal management, and compliance for Cancer Institute’s initiatives and scientific symposia.

Knowledge/Experience:
- Bachelor’s degree in an appropriate field.
- 4+ years’ experience in admin support, ideally in education, healthcare, or research settings.
- Experience with program, meeting, or conference planning, including vendor and site selection, contracting, and budgeting.
- Familiarity with database support and development.
- Knowledge of University of Florida systems, procurement policies, and vendor management (preferred but not required).
