Classification Title:

Administrative Specialist  III

Classification Minimum Requirements:

Bachelor’s degree and five years of appropriate experience or an equivalent combination of education and experience.

Job Description:

The Administrative Specialist III assists the Department Chair and  Associate Director  in developing policies and procedures for the department and completes a variety of complex administrative duties including some clinical and office management functions.

Key Responsibilities Include:

  • Scheduling all administrative appointments, making travel arrangements. Maintaining the appointment calendars for the Chair and Director, scheduling meetings and conferences
  • Planning monthly faculty and leadership meetings
  • Developing credentialing, budgeting and educational systems for the department
  • Reviewing  all incoming correspondence, triaging based upon personal judgment and providing timely information to the Chair and leadership
  • Assist with faculty promotion/tenure process
  • Serve on USOPC committee by overseeing incoming referrals, coordination of scheduling and completing monthly USOPC report
  • Assisting the Medical Director(s) with maintaining clinic schedules, monitoring clinic utilization, chart completion, EPIC templates and clinic operations
  • Supervising staff of administrative assistants, responsible for time approvals, PTO requests/coordinating coverage employee quarterly evaluation and overall management

 

The Administrative Specialist III must work independently.

The expected work schedule for the position is 8:00 AM to 5:00 PM    Monday to Friday

Expected Salary:

$60,000 to $70,000 annually depending on education and experience

Required Qualifications:

Bachelor’s degree and five years of appropriate experience or an equivalent combination of education and experience.

Preferred:

Experience in a healthcare setting

Familiarity with administrative support responsibilities to provide professional-level assistance effectively/proactively

Ability to compose own correspondence and edit/proofread that of others

Proficiency in Epic, Microsoft Office, including Outlook, Word, Excel and Teams


Demonstrate project management skills


Ability to maintain a professional approach at all times
