Job Description:

The Administrative Operations Manager serves as the central leader for all administrative and operational functions within Business Career Services (BCS) at the Warrington College of Business. This role provides comprehensive oversight of fiscal operations, including management of the department’s annual budget, as well as human resources and facilities functions.

The Administrative Operations Manager also provides high-level executive support to the Assistant Dean, including calendar and email management, presentation development, business travel coordination, special event support, and market research. In addition, this position supports the BCS team by addressing administrative and operational needs to ensure efficient office performance and service delivery.

Beyond day-to-day operations, the Administrative Operations Manager plays a key role in the annual planning, execution, and evaluation of the department’s strategic initiatives, contributing directly to the achievement of Business Career Services’ overall vision and mission.

Key Responsibilities:

  • The Operations and Administrative Manager serves as the central point of contact for all administrative, financial, and operational functions within the Department. This role provides oversight of Human Resources and Finance, ensuring effective coordination and execution of departmental processes. Key responsibilities include managing vendor contracts and relationships, developing and implementing fiscal policies, overseeing general funds and departmental accounts, and monitoring PCArd activities and travel expenditures. The position also manages payroll budgets for Student Assistants, Teaching Assistants, and Career and Peer Mentors (CAPs), while overseeing the Department’s annual operating budget. Additionally, this role collaborates with the Events Manager and vendors to procure services, contracts, and student travel arrangements related to BCS events, and serves as the primary administrative contact for BCS software platforms.
  • This position manages all HR-related functions for the Department, including new hire onboarding, policy and procedure administration, and HR compliance for BCS staff, course instructors, Teaching Assistants, and Career and Peer Mentors (CAPs). Responsibilities also include approving time for Student Assistants, developing Student Assistant schedules, and maintaining the BCS team calendar of events. The role serves as the primary HR liaison between BCS and the College of Business, communicating university-wide HR updates and addressing HR-related inquiries from staff. He/She will supervise BCS Fiscal student Assistant and manage their responsibilities in collaboration with other BCS team members. The position also manages Effort and FAR Reporting for departmental faculty and staff.
  • The Operations and Administrative Manager also provides high-level executive support to the Assistant Dean, including calendar and email management, preparation and editing of presentations, coordination of business travel, support for departmental and college events, and conducting market research or special projects as assigned.
  • Serves as the key point of contact for BCS facility and operations in Hough Hall and Heavener Hall.  Manage SPACE allocation, Asset Management – laptop/desktop inventory and equipment requests, oversee staff key inventory, and oversee office repairs and upkeep on an annual basis.
Expected Salary:

$58,000 - $63,000, commensurate with experience 

Required Qualifications:

Bachelor’s degree and three years of appropriate experience or an equivalent combination of education and experience.

  • An entrepreneurial orientation, proven track record of taking initiative and making things happen (i.e. self-starter)
  • Highly proficient with web-based resources, spreadsheet and presentation software required (MS Office Suite: Teams, Word, PowerPoint, Outlook, Excel; Constant Contact; various data dashboard platforms-Cognos, Power-BI)
  • Strong ability to work under pressure, with the flexibility to respond to changing priorities and fluctuating workloads. In addition, the ability and willingness to work flexible hours with occasional travel required.
  • Strong organizational work skills, defining tasks, prioritizing assignments, and following through on all projects independently
