Job Description:

Graduate Assistant Process Oversight:

Serves as the primary point of contact for all Graduate Assistant (GA) related processes. Responsible for managing/assisting HRLs with the full employment lifecycle for GA appointments for all UF/IFAS, with additional support provided to Research and Education Centers located across the state. Closely reviews and monitors the UF academic calendar and remains up to date with any adjustments throughout the academic year. Utilizes in-depth knowledge of GA Union contracts and advises HR Liaison on guidelines for upholding policies related to the contract. Stay up to date with any GA Union information and relay information to HRLs and other appropriate stakeholders. Collect and manage GA evaluation process.  Collaborate with UF/IFAS Immigration Specialist and HRLs on hiring foreign nationals. Evaluates all transaction requests for compliance with applicable university, state, and federal rules. Requests additional documentation or explanation, if necessary, and escalates complex transactions to higher-level specialists for further action.

 

Trainings:

Coordinates and administers training on human resources best practices to partners/stakeholders across UF/IFAS to increase workforce competence, employee engagement, requiring the ability to inform, guide and advise managers in HR-related initiatives. Coordinates/administers professional development opportunities to help individuals learn/apply new knowledge and advance within IFAS.

 

Level 1 ePAF processing: 

Review, coordinate, and approve level one GA appointments that include new hires, job edits, extensions, resignations, terminations. Provide guidance regarding policies and procedures to departments and units regarding GA employment actions. Serves as a backup for ePAF approvals for additional employment types such as Faculty, TEAMS, Post Doc, OPS, and student assistants.

 

HR Policies, Procedures, and Reporting:

Develop, analyze, and monitor reports on UF/IFAS HR metrics. Responsible for assessing methods of capturing data and making recommendations on how to increase reporting efficiency within UF/IFAS HR. Collaborates with team members on building specialized reports for various HR functions and projects. Responsible for staying abreast of all processes, policy, regulatory, compliance, enterprise system upgrades, and technology changes related to HR. Interpreting and communicating all updates/changes to campus partners and collaborating with units as applicable. Implementing changes to internal processes includes participating in business process reviews and providing recommendations for improvements for efficiency or to better support partner units. Assisting in updating and maintaining documentation on internal controls and process guides, including flowcharts, templates, and instruction guides, as assigned. Prepare ad hoc department HR reports, as needed. Responsible for actively addressing issues and/or errors associated with all HR transactions. Provides solutions for complex HR processes or transactions, processes, providing solutions for errors or issues Actively addresses issues associated with any HR transactions and/or errors and follows through with resolution.

 

Organizational Development and Project Management: 

Supports the Executive Director and IFAS HR leadership team with managing special projects, to include communications, presentations, onboarding program, tracking OPS employment thresholds, employee evaluations, etc.

•   Ability to work under pressure in order to meet internal and/or university deadlines.
