Job Description:

The University of Florida, College of Medicine, Department of Emergency Medicine is seeking an Administrative Intern to complete several high-priority, outcomes-driven projects. These initiatives offer exceptional learning experiences alongside meaningful departmental contributions that directly support patient care, education, and research.

This internship is designed for a graduate student seeking hands-on experience in academic medicine and healthcare administration. The selected intern will independently manage impactful projects while gaining valuable exposure to the operational, academic, and strategic functions of a complex healthcare environment.

KEY RESPONSIBILITIES

  • Review existing documentation, workflows, and tracking processes
  • Develop sustainable tracking tools, workflows, and reference materials
  • Organize and maintain data to support accreditation, reporting, and program evaluation
  • Recommend standardized processes and tools to improve efficiency and long-term usability
  • Support regular clinic staffing
  • Attend and support clinical operations meetings and projects

PROJECT-BASED INITIATIVES

With guidance from departmental leadership, the Administrative Intern will:

  • Develop a centralized and organized faculty CV repository to support institutional reporting, grant submissions, and promotion and tenure processes
  • Update our department website to display a consistent format and accurate information
  • Leverage Microsoft Excel and Power BI to visualize financial and clinical data
  • Create documentation and maintenance guidance to ensure long-term sustainability

ADDITIONAL RESPONSIBILITIES

  • Assist with communicating clinical staffing and compensation to faculty
  • Support new initiatives with our incoming chair
  • Collaborate with faculty and staff to understand operational needs and project context
  • Independently manage project timelines, deliverables, and documentation
  • Identify opportunities to improve efficiency, clarity, and sustainability of administrative processes

Prepare summary reports and handoff materials upon project completion. Expected Salary:

$18.00/hr

Required Qualifications:

Enrollment as a graduate student at the University of Florida, with preference for students in healthcare-related programs (e.g., Master of Health Administration)

Preferred
  • Strong organizational skills with the ability to manage multiple projects and deadlines independently
  • Demonstrated ability to analyze information, document processes, and develop structured tracking tools
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook) or equivalent productivity tools
  • Strong written and verbal communication skills
  • Ability to work independently while collaborating effectively with faculty and staff
  • Commitment to producing accurate, high-quality work and meeting established timelines
