Job Description:

The Academic Program Specialist, housed in the Office of Student Affairs in the College of Medicine, will perform program management and evaluation in support of the College of Medicine MD Match process and Learning Culture. This position will provide administrative support to the Deans of Student Affairs and assist with the development of program materials. The incumbent will additionally provide support to current and former MD students, faculty, and staff.

About This Role:

Program Management

  • Coordinate the annual preparation of Medical Student Performance Evaluations (MSPEs) in accordance with College of Medicine and American Association of Medical Colleges (AAMC) policies, regulations, and research. 
  • Compile, maintain, and reconcile student data from multiple university and medical school data systems.
  • Serve as the primary point of contact and administrator for all residency application systems or services.
  • Advise and inform students, staff, and faculty on respective aspects of the MSPE and Match process.
  • Process and fulfill residency and fellowship requests for post-graduate students. 
  • Collect, organize, and provide data and logistical support for the Career Advising Program.

Program Administration

  • Provide administrative support to Student Affairs programs and initiatives, including responding to and triaging inquiries. 
  • Prepare and send report notices and letters to appropriate department contacts and faculty. 
  • Track and maintain learning environment and faculty/resident data.

Dean Support

  • Coordinate daily administrative activities and projects for the Student Affairs Deans, including scheduling workshops and meetings, and maintaining calendars. 
  • Prepares presentations, letters, reports, and charts as necessary. 
  • Coordinate travel and PCard purchases on behalf of the Student Affairs Deans.

Expected Salary:

$46,000 - $52,000 annually

Required Qualifications:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred:

The ideal candidate will possess:

  • Master’s degree preferred. 
  • Experience in a higher education setting, preferably in medical education. 
  • Experience with the MSPE. 
  • Effective analytical writing experience. 
  • Demonstrated experience with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
