Job Description:

Financial Support
•           Serve as the lead fiscal processor for the division (faculty, staff, fellows). This position is directly responsible for all purchasing and accounts payable activities in the division. 
•           Process pcard, invoices, carts, and travel.
•           Serve as a resource for all divisional faculty and staff on the process and guidelines set forth by the university.
•           Analyze and ensure spending is in line with both unrestricted and restricted budgets. Requires ability to interpret and apply accounting principles to transactions; to work accurately with numerical detail; and to analyze, consolidate, and interpret accounting data. Incumbent performs responsibilities by anticipating needs and proactively providing support with minimal direction.  The incumbent is responsible for maintaining sensitive and confidential materials that are received and/or developed during the course of the incumbent's job duties.
•           Reconcile monthly unrestricted budget to actuals. Responsibilities include understanding basic financial and operational concepts and trends, identifying financial results that do not meet expectations and working with the Chief/Administrator to determine the reason for the variance, and translating analyses into actionable information for decision making. 
•           Work with Assistant Director and Chief on annual budget. Works with Administrator and Division Chief and influences spending priorities to align with Division’s strategic initiatives, reviews YTD and PYTD expenditures and performs spending trend analyses, confirms rates with vendors and renegotiates rates as required, reviews IT and data/telephone expenditures to assure accuracy in accounting and billing, supports Fellowship Coordinator in preparation of fellowship budget; monitors OE budget throughout the year; maintains records of all expenditures for Unrestricted accounts and assists with  reconciling accounts to monthly ledgers. Extensive use of the PeopleSoft system for: Grants, Fiscal, Payroll, Human Resources, and Travel.  Advanced knowledge of Excel will be expected.

Clinical Administrative Support
•           Conduct monthly analysis on divisional clinical data for both faculty level review and division level review. Provide this information to individual faculty members, Assistant Director, and Chief.
•           Use clinical data analysis to determine best practices for clinical office efficiency and clinical team equity to ensure divisional policies and procedures are up to date and best for the division.
•           Responsible for managing the Divisional clinical software scheduling system and supervising Admin Assistant II to reviewall trades/swaps/requests/etc. that impact the Divisions clinical mission.
•           Serve as backup for the consult distribution service

Administrative Support
•           Develop and maintain understanding of the requirements and priorities unique to the Division of Infectious Diseases and Global Medicine and the Chief’s role. Coordinate Chief’s activities with those of the Department, College, Hospital, faculty, staff, and individuals from outside the University. Manage the flow of all information in and out of the office, both paper and electronic information. Independently manage projects for the Chief and Administrator to ensure that projects stay on schedule. Review all incoming correspondence, prioritize, and delegate information to others as appropriate.
•           Maintain a professional environment for the Division of Infectious Diseases and Global Medicine office. Design and implement processes for the efficient functioning of the office. Update and maintain office policies and procedures. Coordinate calendar of the Chief and Administrator. Screen and prioritize requests for appointments.
•           Maintains accurate daily electronic calendars including administrative and academic appointment schedules as directed by assigned faculty or staff.  Schedules meetings as directed and notifies all appropriate personnel regarding faculty vacations and/or absences.
•           Types confidential and routine correspondence, memorandums, protocols, letters, meeting minutes, and reports, from dictation or hand-written copy for the Division Chief and other faculty members, as needed.  Uses correct formatting, spelling, and grammar for all correspondence.
•           Manage divisional assets, ensuring assignments are correct and locations updated.
•           Maintain divisional space reporting.

Human Resource Support
•           Assist Assistant Director with all necessary paperwork and submissions for TEAMS/OPS HR actions. Including hires, reclasses, SPIs, and departures.
•           Serve as lead for divisional volunteers. Serving as the liaison for the volunteer, HR team, and faculty member.
•           Coordinate onboarding activities for incoming faculty and divisional staff.
•           Assist faculty with their annual evaluations, mid-cycle, and promotion packets. Collecting and entering divisional/departmental data pieces as well as overall formatting.

Miscellaneous Duties:
•           Prioritizes assignments and messages based on urgency and/or deadlines and works cooperatively with other Divisions, Departments, and other University staff to ensure that all assignments are completed in a timely manner and meet or exceed the standards for quality and performance as established by the Division’s Administrator.
•           Serves as a liaison to multiple internal and external entities, including but not limited to Department of Medicine and all Divisions, College of Medicine, UF Health, VA Medical Center, referring physicians, patients, and patients’ families
•           Greets visitors to the Division and assists visitors and/or staff with locating offices and providing directions as necessary.  Constantly strives to represent the Division, Department, and University in a positive and professional manner.
•           Adheres to all office policies, procedures, and protocols as developed by the Division Administrator

Expected Salary:

$22.50 - $29.00/hr

Required Qualifications:

Bachelor's degree; or an equivalent combination of education and relevant experience.

Preferred:

Demonstrated ability to work with the PeopleSoft management system.
Preferred knowledge of computer document and presentation software applications, strong verbal and written communication skills, team-oriented collaborative work style, and self-motivated.

Experience with grant-related fiscal activities is a plus, but not required.
