The Opportunity:
The University of Florida, College of Medicine, Department of Psychiatry, is seeking an OPS Administrative Assistant who is organized, methodical, and detail-oriented to provide essential administrative support for a special project-based assignment. This position will play a critical role in supporting our faculty by transferring faculty Curriculum Vitae (CV) information into the new Faculty Excellence and Advancement (FEA) system.

The Faculty Excellence & Advancement (FEA) system is UF’s unified platform that supports faculty activity reporting, evaluation, promotion, tenure, and annual reviews. The system consolidates information such as publications, presentations, teaching activities, clinical work, and service into a single, user-friendly portal. It is used university-wide to ensure consistent documentation and accurate reporting for administrative, accreditation, and review processes.

This position is open to all university students who are eligible to work on campus, including those eligible for Federal Work-Study (FWS). Federal Word-Study students must maintain a minimum 2.0 grade point average. Registered students are employed on a part-time basis, up to 20 hours per week. A Federal Work-Study permit or award letter for the Fall 2025 semester is required and must be uploaded electronically to be considered for this position.

 

 Key Responsibilities

  • Data Entry: Methodically review faculty CVs, entering and confirming information in the FEA system to ensure accuracy – such as publications, articles, presentations, and other scholarly activities.

Expected Salary: $14.00

Minimum Qualifications:

  • Must be a currently enrolled UF student (undergraduate or graduate).
  • Eligible for Federal Work-Study (if utilizing FWS funding).
  • Ability to work 20 to 30 hours per week during the semester.
  • Strong attention to detail and accuracy in data entry tasks.
  • Basic proficiency in Microsoft Office.
  • Ability to maintain confidentiality of sensitive information.
  • Reliable, punctual, and able to work independently with minimal supervision.

 

Preferred:

  • Previous experience in administrative support or data entry.
  • Strong written and verbal communication skills. Ability to follow directions and strong problem-solving skills.
  • Knowledge of APA formatting and a background in English.
