Job Description:

This is a focused manager position that provides oversight of the administrative functions of the Center. Reporting to Director of the Fort Lauderdale Research and Education Center, the Manager of Administrative Services has substantial managerial responsibility and requires a broad range of skills and use of considerable judgement and initiative. The incumbent provides daily management of the administrative functions of the center. Establishes direction, goals, policies and procedures for the efficient functioning of the center. Provides training and development for administrative staff. Continuously reviews processes for compliance and efficiencies. Provides overall leadership to all business functions of the center. Work collaboratively to create a harmonious work environment. Assist Director in the analysis of effectiveness and direction of future policies and programs.

  • Directly supervise all administrative staff for FLREC. Provides oversight, direction, and daily management of administrative functions of the center.  Establishes direction, goals, policies and procedures for the efficient functioning of the center. Ensures customer focus while managing daily workload. Establish excellent customer service from the administrative team. Continuously review processes for compliance and efficiencies. Resolve conflicts and issues that arise. Provide overall leadership to all business functions of the center. Collaborate with Director on administrative operations. Ensures open and productive written and verbal communication with faculty, staff, vendors, partners, other UF departments, and stakeholders. Provides guidance for FLREC in upholding core values while analyzing current processes and making recommendations for improvement.  Proactively identifies and communicates problems and opportunities; seeks input and participates in implementing solutions.

 

  • Establishes performance standards, accountability, and general supervision to support staff.  Develop training and development plans to maximize learning, improve staff performance and address skills gaps. Address time and labor initiatives to include training staff and supervisors in time reporting and approval. Address administrative personnel growth and concerns within a professional and timely manner that adheres to the university policies and ensures a productive and positive work environment for all. In conjunction with Unit leadership team, create a system of constructive policy reminders and enforcement.

 

  • Stay up to date on University, Unit, and IFAS software, as it relates to financial, HR, and administrative needs. Train staff when new software is implemented. Participates in special projects, aid in annual space and assets certifications, and liaisons with facilities and real estate. Ensures all fiscal, HR, Sponsored Research, and administrative functions comply with university, state, and federal regulations. Provides adequate assurance of internal controls, and overall compliance.  Serves as Department Security Administrator (DSA). Oversee the preparation of SPACE reporting ensuring accuracy and completeness.  Reviews to ensure projects are appropriately identified.  Resolves issues and problems related to space and cost accounting.

 

  • Collect housing rent payment and work with housing committee with respect to oversight on center housing and leasing contracts to ensure compliance with UF housing guidelines.  Maintain vehicle and fuel logs for center vehicles. Manage the distribution of facility and dorm keys, ensuring accurate records of key assignments and recipients.

Required Qualifications:

Bachelors degree in an appropriate area and three years of relevant experience; or an equivalent combination of education and experience.

Preferred

• At least 5 years of supervisory management experience and/or Master of Business Administration

• Capable of preparing and responding to a variety of confidential, complex and sensitive issues

• Ability to act independently and exercise good judgement consistent with the goals of the department, and university, state, federal and other directives, policies and procedures 

• Strong leadership skills

• Good interpersonal and communication skills

• Ability to analyze departmental data and develop information and reports using appropriate software packages

• Highly organized and capable of working under pressure

• Ability to prioritize own work and proceed with minimum supervision

• Ability to maintain professional approach when working with different personalities

• Consistently demonstrate personal initiative
