Job Description:

This position is located in the UF College of Medicine-Jacksonville Office of Educational Affairs.

Essential Functions:

  • Provides primary administrative oversight of the Medical Education division of the Office of Educational Affairs. Manages the day-to-day activities of four full-time OEA institutional clerkship administrators in the management of their respective departments, providing oversight for all medical student education and observer programs of the UFCOM-J Regional Medical Campus. Will also manage new administrator primarily tasked with coordinating all rotating students external to the COM, including expertise in the utilization of the VSLO national application system, managing educational contracts, and ensuring compliance with all University, State, and Federal regulations. Works closely with Assistant Dean for Medical Education to ensure that curricular updates/changes are communicated and implemented. Also serves as liaison between informatics at UFCOM for UFCOM-J institutional clerkship administrators regarding daily utilization and management of MedCat, CANVAS, and other databases utilized by the UFCOM, with the additional oversight of implementation as well as day-to-day management of Qualtrics on the UFCOM-J campus, and provides expert support to all departments on the use of these systems.
  • Responsible for managing student course assignments and scheduling using MedCat and New Innovations (NI), web-based educational management tools, entering and ensuring accuracy of student demographic information, educational course assignments, and housing requests for students from UF and non-UF academic programs, including, but not limited to, medical, physician assistant, advanced practice nursing, OMFS, and podiatry. Tracks schedule changes as they occur and makes appropriate updates. Provides reports to institutional clerkships administrators and others as needed regarding student schedules and assignments. Also functions as liaison with UFCOM Student Affairs, Medical Education, Physician Assistant Program, and non-UF academic programs for the purposes of ensuring accuracy of student rotations, grade reporting, evaluation reporting & housing information. Maintains and regularly updates the UFCOM-J Regional Medical School Campus and related websites, including those housed at the UFCOM in Gainesville.  
  • Provides oversight for all student course, faculty, and resident evaluations from multiple systems for reporting to the Senior Associate Dean for Educational Affairs and other campus leaders. This includes, but is not limited to, rotational evaluation set-up and assignment, monitoring timely student completion of evaluations, analyzing evaluation data, and preparing annual reports to department clerkship directors, residency program directors, chairs, and others as required for educational awards, annual evaluations, promotion and tenure, and other required reports.
  • Responsible for oversight of secure National Board of Medical Examiners (NBME) exam processes for students on the UFCOM-J campus, including ensuring compliance with regulations, scheduling and other logistics of multiple testing sessions throughout the academic year. Also collaborates with the Assistant Dean for Student Affairs to assure compliance with all requirements for students who require accommodations.
  • Collects and maintains applicant data from multiple sources including AMCAS (Regional Campus), VSLO (visiting students), and others for reporting purposes (LCME, SACS, etc.) including but not limited to number of applicants, student demographics, and information regarding approved rotations.
  • Develops and distributes UFCOM reports required for accreditation, promotion and tenure, continuous quality improvement, AAR, and other essential functions. Ensures that all educational programs comply with college, university, state, and federal regulations.
  • Participates in strategic planning, and formulating policies and procedures for further growth and development of the UFCOM-J Regional Medical School campus, both locally and in conjunction with counterparts at the College of Medicine in Gainesville.
  • Assists with special projects and performs other additional duties as assigned by the Senior Associate Dean for Educational Affairs.

 

Expected Salary:

$92,200

Required qualifications Bachelor’s degree in an appropriate area and three years of relevant experience; or an equivalent combination of education and experience.
Preferred:

Knowledge of computers and current computer software projects.
Ability to plan, organize and coordinate multiple project independently.
Ability to effectively communicate with faculty and staff.
Ability to interpret general office priorities and work assignments.
Ability to collect and interpret data for analysis and reporting.
