The University of Florida’s Clinical Research Hub (CRH) is seeking a Clinical Research Financial Analyst II to join the Clinical Trials Support Office within the College of Medicine’s Office of Research. This role offers the opportunity to play a critical part in supporting innovative clinical research by building and managing study protocols within the Clinical Trials Management System (CTMS) for Academic Health Center and Oncology projects. The Analyst will collaborate with a dynamic financial team to oversee post-award financial activities for clinical trials, ensuring accurate invoicing, revenue tracking, and compliance with institutional and sponsor requirements. This position is ideal for a detail-oriented professional who enjoys financial analysis, problem-solving, and working with cross-functional teams, including study coordinators, sponsors, and UF research offices. Responsibilities also include conducting account audits, supporting budget compliance, processing project closures, and maintaining financial integrity across studies. More About This Role
Clinical Trial Financial Management and Project Oversight
- Manage non-federal clinical trial (214) projects in myUFL and OnCore, ensuring alignment between fully executed contracts, protocols, and IRB approvals
- Verify appropriate indirect cost (IDC) rates and ensure accurate project setup and maintenance within institutional systems
- Maintain and update key project information, including department ID, primary unit admin contact, and award dates
- Coordinate with departmental fiscal personnel to resolve issues prior to project activation and release
Invoicing, Revenue Capture, and Financial Processing
- Manage invoicing activities in OnCore, including creation, tracking, and reconciliation of invoices based on subject visit activity and sponsor agreements
- Ensure accurate billing, timely invoicing, and full revenue capture in alignment with approved contracts
- Record and reconcile incoming payments, including EFTs and checks, ensuring proper allocation to accounts receivable and study accounts
- Identify and resolve discrepancies related to payments, deposits, and missing documentation in collaboration with study teams and fiscal partners
Post-Award Financial Management and Project Closeout
- Support post-award financial activities for fund 214 projects, including updates, modifications, and sponsor-driven changes in myUFL
- Assist study teams and investigators with ensuring financial changes align with contract requirements and institutional policies
- Lead or support project closeout activities, including full reconciliation of funds and proper revenue allocation prior to closure
- Collaborate with UF Research Offices and Contracts & Grants to resolve financial and compliance issues as needed
Financial Review, Reporting, and Compliance Support
- Assist in reviewing journal entries for fund 214 projects to ensure accuracy and proper supporting documentation prior to posting
- Support monthly processes related to CTMS fee identification and billing for newly activated clinical trials
- Ensure appropriate documentation, reporting accuracy, and compliance with institutional financial standards
Systems Support, Quality Assurance, and Process Improvement
- Support testing and validation of CTMS system updates, enhancements, and new functionality
- Communicate system issues, workflow updates, and enhancement needs to CTMS management, workgroups, and vendor partners
- Contribute to process improvement efforts by identifying workflow gaps and supporting implementation of best practices in clinical trial financial management
