The College of Dentistry is recruiting for the position of Manager of Health Care Administration, in the Department of Oral and Maxillofacial Surgery. This position is responsible to provide leadership to the OMFS clinic and office staff and manage the day to day financial, business, patient customer service, and clinic operations; formulate and recommend policies and procedures to effectively administer the clinic operations; develop and recommend new processes to improve and ensure the success of the clinic; and operate within budget guidelines and target metrics.
Clinical and Administrative Management
Manages administration, operations and leadership of the clinical and business staff for the Department of Oral and Maxillofacial Surgery. Ensure all practices are up to Occupational Safety & Health Administration (OSHA) and Health Insurance Portability & Accountability Act (HIPAA) standards. Build and maintain relationships with faculty, residents and staff. Administer standard operating procedures and Human Resources (HR) policies, staff training and development, payroll rules and guidelines compliance, staff scheduling, and performance development. Responsible for the management of the clinical staff, ensuring appropriate staffing levels, appropriate resources, task assignments, and processes are followed to ensure that patient care proceeds in an efficient and effective manner. Monitor faculty and staff leave calendars to ensure proper clinic coverage. Conducts the interviewing, hiring, orienting, training, evaluating and supervising of clinical service representatives; Also responsible for supervision of clinical staff when regular supervisor is out of the office on leave.
Financial Operations
Manage clinical and business operations and ensure that they are within budgetary guidelines. Monitor daily, weekly, quarterly, and annual metrics; adjust operations and processes to meet targets. Responsible for developing and maintaining provider scheduling templates to ensure that patient flow matches clinical resources. Monitor clinical notes and charge entries to ensure they are accurately completed and approved in a timely and compliant manner. Review insurance claim activity to confirm that all claims are being processed efficiently and without delay. Monitor the collection and posting of patient payments to ensure accuracy and completeness. Review accounts receivable (A/R) reports and coordinate with the college business office to provide necessary documentation for potential write-offs of delinquent accounts. Deliver collections to the business office as needed. Generate and distribute reports identifying missing charges and clinical notes to the appropriate staff for follow-up and correction. Oversee and assess the accuracy and timeliness of charge entries and documentation completed by other staff members. Collaborate with clinical and administrative teams to maintain compliance with billing and documentation standards.
Medical Coding and Compliance
Extract billable services from the patient charts, apply appropriate Current Procedural Terminology (CPT), International Classification of Diseases (ICD-10) codes, Healthcare Common Procedure Coding System (HCPCS) and American Dental Association Dental Procedure Codes and enter these services in AxiUm for submission; work closely with faculty, fellows and the Residents in the respective Divisions to provide education on correct coding, proper documentation to maximize physician reimbursement, and ensure compliance with federal and state regulations.
Patient Services and Clinic Operations
Manage patient customer service to include monitoring the flow of new and existing patients, scheduling, patient billing, collections, insurance processes, insurance denials, patient and insurance accounts receivable (A/R) within electronic health records. Manage all quality assurance issues for clinics to include complaints. Responsible for ensuring that appropriate supply levels for operations and patient care are maintained at all times.
Courtesy Faculty Coordination
Manage courtesy faculty members with regard to training for participating in Student Oral Surgery Clinic. Coordinate with DMD Program Director and administrative assistant to assure proper coverage and timely participation of courtesy faculty members.
Marketing, Records and Projects
Responsible to assist in marketing efforts, projects, and other miscellaneous tasks on an as needed basis. Manages and maintains files of a confidential nature pertaining to patients, students, and residents. Ensure clinic web pages accurate.
