Classification Minimum Requirements:

Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.

Job Description:

 

Provides support for onboarding and offboarding processes for employees, OPS staff, volunteers, and affiliates. Enters and maintains HR data in relevant systems, ensuring accuracy and completeness, and collects and routes required documentation for processing and approval. Assists with routine appointment changes, extensions, and separations, and maintains onboarding and separation checklists to ensure all required steps are completed.

Maintains accurate employee and affiliate records and performs routine updates and corrections within HR systems. Generates basic HR reports and data extracts and supports the organization of departmental HR files. Ensures the confidentiality and integrity of HR data and documentation.

Monitors time entry submissions and follows up on missing or incomplete timesheets. Processes routine payroll and time adjustments and routes discrepancies for resolution. Assists with payroll distribution updates and leave tracking, ensuring time and labor records are complete and submitted within established deadlines.

Processes non-employee affiliations, visitor appointments, and volunteer records, maintaining accurate and up-to-date status information. Supports onboarding, documentation, and training compliance for volunteers and affiliates, and assists the Volunteer Program with routine administrative tasks.

Serves as an initial point of contact for routine HR inquiries, providing guidance on processes, forms, and systems. Routes complex or sensitive issues appropriately and communicates HR deadlines and updates to departments. Supports general HR operations, contributes to process improvements and documentation updates, assists with system training for departmental users, and performs other related duties as assigned.

Expected Salary:

$50,000 - $60,000, commensurate with education and experience.

Required Qualifications: Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.
 

Preferred Qualifications

  • Experience with University of Florida HR systems (e.g., Careers at UF, ePAF) or similar human resources information systems
  • Experience supporting HR transactions, onboarding, payroll/time administration, or related administrative HR functions
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint
  • Strong attention to detail with demonstrated organizational and recordkeeping skills
  • Ability to manage multiple routine tasks with accuracy and meet established deadlines
  • Effective written and verbal communication skills with a customer service–oriented approach
  • Ability to handle sensitive information with discretion and maintain a high level of confidentiality
