Job Description:

The Associate Director of Academic Affairs for Graduate Education oversees the operational and programmatic functions of the College of Medicine’s Office of Graduate Education, reporting directly to the Senior Associate Dean. This role contributes to the implementation and coordination of graduate degree programs, professional development initiatives, and postdoctoral programs.

Responsibilities include supporting effective and compliant academic systems and processes; coordinating progress tracking, data management, and reporting; assisting in staff supervision; and partnering with leadership and program directors to maintain a high-quality graduate and postdoctoral learning environment.

About This Role: 

Academic Operations

  • Oversees the day-to-day academic operations of the Office of Graduate Education to ensure efficient, high-quality, and timely services.
  • Responsible for the supervision and support of program staff, including workflow coordination, onboarding, and performance feedback.
  • Collaborate with division leadership and administrative units to support alignment and integration of systems, processes, and initiatives.
  • Contribute to the documentation and continuous improvement of operational processes to enhance efficiency and consistency.
  • Oversee the coordination of logistical and operational support for graduate education events, including orientations, ceremonies, and program activities.
  • Monitor compliance of graduate programs with university, state, federal, and accreditation requirements, including curriculum documentation and reporting standards.

Data and Systems Management

  • Oversee the management and maintenance of student and postdoctoral data systems, including admissions, enrollment, evaluations, and outcomes tracking.
  • Ensure accuracy, timeliness, and integrity of academic and trainee data to support reporting and decision-making.
  • Develop and generate of reports and dashboards for leadership, accreditation, and external stakeholders.
  • Collaborate with IT and institutional data teams to support system enhancements and integrations.
  • Utilize data to identify trends and support continuous improvement efforts.

Academic Program Support

  • Oversee the implementation of academic policies, procedures, and governance processes for graduate and postdoctoral programs.
  • Lead and support accreditation activities, program reviews, and assessments, including coordination and documentation.
  • Partner with faculty, program directors, and committees to support curriculum administration and program operations.
  • Provide guidance on routine academic matters, including student progress, policy interpretation, and procedural questions.
  • Oversee and coordinate as needed, key academic processes such as admissions workflows, milestone tracking, and postdoctoral appointments.
  • Initially serve as the escalation point for complex or sensitive issues in division and collaborate with senior leadership, as needed, providing background and recommendations as needed.

Strategic Initiatives and Project Coordination

  • Contribute to strategic initiatives and operational improvement projects within the Office of Graduate Education.
  • Lead and coordinate cross-functional projects aimed at enhancing processes, systems, and service delivery.
  • Support change management efforts related to new systems, policies, or operational updates.
  • Identify resource needs and process improvements to support program goals.

Cross-Functional Support

  • Provide support across the Office of Graduate Education to ensure continuity of operations.
  • Provide coverage during staff absences and peak workload periods.
  • Perform additional duties as assigned to support overall program and office needs.

Expected Salary:

$110,000-$114,000 annually

Required Qualifications:

Master’s degree in an appropriate area of specialization and four years of appropriate experience or a bachelor’s degree in an appropriate area of specialization and eight years of experience.

Preferred:

The ideal candidate will possess:

  • Doctoral degree in higher education, academic administration, or a related field.
  • Demonstrated experience in an academic environment, preferably in graduate education, postdoctoral programs, or an academic health center.
  • Experience with enterprise student and trainee data systems (e.g., Slate, PeopleSoft, CRM platforms).
  • Strong organizational, analytical, communication, and problem-solving skills.
