Job Description:

Task/Staff Management

Develops preventative maintenance programs for the departmentally maintained infrastructure and equipment (De-I water systems, ice makers, autoclaves, fume hoods, etc). This includes documenting of standard operating procedures (SOPs) within departmental Microsoft Teams channel regarding intervals of when maintenance is required/needed, what type of service to perform, who to conduct the service (staff or supervisor), training of subordinate staff on how to perform this maintenance, location of equipment, and appropriate personal protective equipment (PPE) needed to safely perform this maintenance. From SOPs, establishes daily, weekly, quarterly, and annual tasks for all maintenance staff to perform to ensure infrastructure and equipment is working properly to extend useful life. This position is the primary liaison between departmental users, Facilities Services and vendors on service outages. In conjunction with the director, establishes departmental guidelines on work order priority requirements to ensure tasks are completed correctly, timely, and within departmental needs. Reviews/assigns work orders to staff and follows up to ensure timely/accurate completion of work orders. Sets subordinate staff schedules, reviews their time off requests, approves their biweekly time, coordinates their trainings, and performs their bi-annual evaluations. Provides feedback outside of UF mandated performance evaluation periods to ensure staff are performing at achieves or above.

Manages the departmental vehicle fleet to ensure regular maintenance is performed and vehicle interior and exterior appearance is suitable for external passengers on recruitment visits.

Renovation & Construction Projects

Develops and drafts renovation plans with faculty and director. Establishes scopes of work and submits to college for review/approval to be submitted to Planning, Design & Construction (PD&C) for project creation within project tracker. For projects to be handled by the college representative, works with the college project manager to develop drawings, permit submission, hiring of vendors and/or conducting inhouse renovation as allowed under existing university and college guidelines. For larger projects involving PD&C, works with the college project manager, PD&C project managers and contractors to review architect, engineer, and or contractor drawings for content and accuracy. Responds to information requests from same and assists in resolution of issues, including those related to Environmental Health & Safety (EH&S) as necessary. Assures that projects are completed on schedule by regular oversight of progress and contact with project managers, contractors, architects, and engineers as needed. Coordinates departmental review and support for Academic Technology projects within the Department of Chemistry buildings.

Space Management

Responsible for updating current floor plans of the Department of Chemistry occupied buildings showing all space assignments. Provides options and recommendations to director and/or chair for changes in space assignments. This position coordinates and/or completes space inventories and administrative reports as requested/required by the Department of Chemistry, CLAS, UF, the state and granting agencies concerning Chemistry space and its use, including the annual space report. Authorizes changes to the Lenel access control system in accordance with space assignments or as directed by director or chair. Works with faculty and other authorized users to configure assigned space to meet functional requirements. This encompasses the receipt and transport into buildings of equipment and instruments, and ensuring the space environment supports the placement, installation and use of the equipment and instruments.

Financial

Works with the director to create an annual operating budget, split to cover research, academic and administrative needs and ensure commonly needed maintenance supplies are on hand. Works with vendors to negotiate annual contract pricing on infrastructure or equipment that can’t be maintained by the chemistry maintenance team. Makes recommendations to the director on long range replacement of said items. In conjunction with the college, creates renovation budgets. Serves as the departmental Asset Management Contact. Ensures all assets and attractive items are inventoried each fiscal year, works with IT to establish all mandatory IT items are decaled and appropriate offsite inventory letter initiated each fiscal year. Responsible for decontamination and refrigerant of all equipment for surplus tickets to be submitted.

Expected Salary:

 $61,000 - $70,000

Required Qualifications:

Bachelor's degree in an appropriate area of specialization and 2 years of appropriate experience; or an equivalent combination of education and experience.

A valid driver's license is required. 

Preferred:

- Proficiency with computers including the MSOffice suite of products and drawing/graphics programs.
- Demonstrated ability to work independently and to communicate/work effectively with a wide variety of            constituents.
- Building design, construction and maintenance experience.
- Evidence of leadership skills.
