Program Data Management and Reporting:
Working across multiple agents and program areas, the position serves as a central point of coordination to help ensure timelines, reporting deadlines, and program needs are met efficiently. The employee also contributes to improving internal systems by helping design, implement, and maintain streamlined recordkeeping procedures and standardized processes that enhance organization and consistency across the office. Must maintain accurate program records and reporting systems across all Extension program areas, including tracking participation, outputs, and outcomes. Ensure timely and accurate data entry and support UF/IFAS reporting requirements. Tracks program participation and metrics across all program areas, helping agents monitor reach and impact (e.g., number of participants served, educational contacts, and program outcomes).
Volunteer Coordination and Support:
Coordinate administrative aspects of volunteer programs (4-H and Master Gardener), including onboarding documentation, recordkeeping, compliance with required paperwork, and tracking volunteer activity and hours. Responsible for volunteer coordination and compliance for volunteer-based programs such as 4-H and Master Gardener Volunteers. This includes supporting onboarding processes (e.g., applications, background checks, required forms), maintaining volunteer records, tracking volunteer service hours, and ensuring all required documentation is complete and up to date.
Program and Event Coordination:
The position plays an active role in coordinating the logistics of educational programs, workshops, and events. This may include scheduling, managing registrations, preparing materials, communicating with participants, reserving facilities, material preparation, and ensuring all necessary resources are in place for successful program delivery. Driving for events will be required.
Administrative and Budget Support:
Provide general administrative support, including assisting with purchasing, tracking expenses, maintaining budget-related records, processing payments or fees, and maintaining organized financial records in accordance with established procedures Responsible for supporting office organization and workflow. Provide intermittent administrative and operational support as needed to maintain overall office efficiency. This includes serving as backup for front desk or general office functions (e.g., answering phones, greeting visitors, and directing inquiries), assisting with minor technology or data system troubleshooting, and supporting special projects or one-time initiatives. The position also participates in job-related training and professional development activities to maintain and enhance required skills. These duties are performed on an as-needed basis and are not core to the primary responsibilities of the position.
Grant Support and Special Assignments:
Identify potential funding opportunities, assist with grant application preparation and tracking, assists with gathering required information for proposals, and helps monitor deadlines and reporting requirements. perform other administrative or programmatic duties as assigned by the Extension Director.

| Preferred: |
•Bachelor’s degree in public administration, business administration, education, agriculture, or a related field
•Experience working in Extension, higher education, or a public-sector organization
•Demonstrated experience with program coordination, data management, and reporting systems
•Experience supporting volunteer programs, including onboarding, tracking hours, and maintaining compliance documentation
•Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and experience with databases or data tracking systems
•Experience with financial tracking, budgeting support, or purchasing processes
•Strong organizational skills with the ability to manage multiple projects, deadlines, and priorities simultaneously
•Excellent written and verbal communication skills, with the ability to work collaborativel across a team
•Experience assisting with grant identification, preparation, or administration is a plus

The County Extension Director assigns work in terms of broad goals and general instructions. The position is expected to exercise independent judgment in organizing and prioritizing tasks, coordinating multiple assignments, and managing day-to-day responsibilities. Completed work is reviewed by the supervisor for adherence to established procedures, accuracy, and the quality and appropriateness of final results.
NORMAL WORK SCHEDULE:
Monday - Friday, 8:00 AM to 5:00 PM, with an hour lunch break.
REQUIRED LICENSES, CERTIFICATIONS, AND OTHER SPECIFIC REQUIREMENTS OF LAW:
Must possess and maintain a valid Florida driver’s license and any other endorsements necessary to legally operate vehicles used while assigned to this position. For purposes to travel to Broward County Administration, IFAS Gainesville, stores to buy necessary materials and supplies and other duties assigned.

Support established policies and respond promptly to new instructions, situations, methods and procedures.
PROGRAM DIRECTION AND DEVELOPMENT:
This position does not have primary responsibility for program planning or direction. However, the employee is expected to provide input and feedback to support program improvement and operational efficiency. This role contributes to the development and refinement of internal systems by helping design and implement effective recordkeeping procedures, data tracking methods, and standardized processes across program areas.
The position plays an important role in identifying opportunities to streamline workflows, improve organization, and enhance overall program support functions, ensuring consistency and efficiency in meeting reporting and administrative requirements.
COMMUNICATION:
This position requires frequent and ongoing internal and external communication. Internally, the employee works closely with Extension agents, the County Extension Director, and support staff on a daily basis to coordinate program activities, track data, manage reporting requirements, and ensure efficient office operations.
Externally, the position communicates regularly with volunteers (including 4-H and Master Gardener participants), program participants, community members, partner organizations, and university personnel. Responsibilities include providing accurate information, coordinating volunteer requirements and documentation, supporting program registration and logistics, and responding to inquiries via email, phone, and in person.
The role requires clear, professional, and timely communication, with a strong emphasis on customer service and responsiveness. The employee is expected to maintain confidentiality when handling sensitive or personal information and to exercise discretion and professionalism in all interactions. Strong interpersonal skills and the ability to work effectively with different audiences are essential.
MONETARY RESPONSIBILITY:
This position has limited direct budget authority but is responsible for supporting program-related financial transactions, including purchasing supplies, processing registrations, and collecting payments from program participants. The role requires a working understanding of operational budgeting procedures and adherence to established financial policies and controls.
Accuracy and attention to detail are essential, as errors could result in minor financial discrepancies, delays in program delivery, or additional administrative effort to resolve issues. The employee is expected to follow established procedures to ensure proper handling, documentation, and tracking of all financial activities.

OTHER CHARACTERISTICS OF THE POSITION:
This position primarily involves sedentary work, including extended periods of sitting at a desk while using a computer and standard office equipment such as printers, copiers, and telecommunication systems. The role requires strong attention to detail, organization, and the ability to manage multiple tasks simultaneously, as well as frequent use of data management and reporting systems.
Occasional travel is required to attend meetings, trainings, and program-related activities, including site visits in outdoor environments, residential areas, and school or classroom settings. The position may involve light lifting of materials and supplies (e.g., program materials or equipment) and interacting with different audiences including volunteers, program participants, and community members.
The work environment is generally office-based but includes periodic field and community engagement activities.
