Job Description:

Supports the recruitment and personnel needs of Business Affairs | Construction, Facilities & Real Estate (BA | CFRE) departments.

  • Supports departments with recruitment and hiring processes needs, including reviewing and updating position descriptions before posting; posting positions online; Position Reclassifications, reviewing and clearing hiring packets, background screening reports, Reassignments, Employment of Relatives approval request, Immigration Clearance when needed, Animal Contact approvals, Physical Waiver/Requests, Commercial Driver’s License (CDL) Clearance approvals etc.
  • Investigates matters of significance including complex and unusual issues related to hiring process, employment of relatives, Immigration approval process, education discrepancies, experience verification, Job Data Corrections, and pay discrepancies, etc.  Makes recommendations to supervisor and takes steps to resolve the issues.
  • Creates new hire letters and is responsible for the onboarding of the new employees, including completing all new hire paperwork (I-9, etc.), creating Gatorlink account, Creating UFID, entering ePAF, Creating New Hire Folders, ID badge, Payroll Cost Distributions etc.
  • Maintains a current working knowledge of University’s policies and procedures to ensure hiring process and procedures are in alignment.
  • Communicates and interprets human resources policies and procedures and state and federal laws for managers, employees and job candidates.

Provides Benefits and Retirement support

Serves as backup for the new hire benefits and retirement information sessions at CFRE New Hire Orientation, as scheduled, and otherwise attends monthly new hire benefit and retirement information sessions provided by UFHR to support BA | CFRE employees.

  • Assists newly hired employees with their initial benefits enrollment and assist current employees with annual open enrollment changes.
  • Advises employees regarding all benefits, limitations, exclusions, coverage, and cost of each plan, as well as the frequency of payroll deductions.
  • Assists employees with qualifying status changes to add, delete and/or change coverage.
  • Provides broad communication to users within BA | CFRE regarding UF updates (new hire benefits, open enrollment, etc.)

Facilitates and Supports HR Processes

  • Processes Personnel Action Requests (PAR) in a timely manner (used as a means for departments to communicate staffing changes).
  • Communicates with UF Human Resources (UF HR) Classification & Compensation office and processes job description updates and pay changes.
  • Provides phone coverage and customer service for the BA | CFRE HR Office.
  • Manages office and electronic files.  Routine updates, scans and purges files. Ensures that all employee personnel files are maintained according to established policy and procedures.  Creates initial personnel files for new hires in BA | CFRE, adds policy updates that employees have signed for (ex., new attendance policy, on-call pay policy, etc.), outside activities forms, employment of relative’s forms, etc. Pulls terminated files and holds in suspension until can be disposed of per UF’s record retention schedule and policies.

Assists with entering ePAFs for separation and Person of Interest (POI).

A criminal background will be conducted.

Expected Salary:

$53,000 - $55,000 based on experience

Required Qualifications:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred:
  • Demonstrated knowledge of PeopleSoft, as it relates to UF HR and payroll functions
  • Demonstrated knowledge of computers and basic software applications, including Microsoft Word, Excel, and e-mail/calendar programs

  • Demonstrated proficiency with computers and basic software applications, including Microsoft Word, Excel, and e-mail/calendar programs

  • Society for Human Resource Management (SHRM) Certified Professional (SHRM-CP), SHRM Senior Certified Professional (SHRM-SCP), HRCI Professional of Human Resources (PHR), or HRCI Senior Professional of Human Resources (SPHR) preferred
