Job Description:

Provider Template Development and Monitoring

Work alongside the Assistant Director of Clinical Operations to design and develop provider schedule templates within Epic tailored to the specific needs of the various divisions within the Department of Pediatrics. Collaborate with Divisional Chiefs, Administrators, and ACU Managers to understand clinic scheduling requirements and preferences. Ensure that created templates adhere to regulatory guidelines and compliance standards of the department as well as other regulatory authority. Develop and update step-by-step guides to help current ACU managers and schedulers understand and interpret the scheduling templates being created. Continuously evaluate and optimize existing scheduling templates to improve efficiency, productivity, and resource utilization. Monitor schedule performance metrics and identify areas for improvement or adjustment. As needed, update and maintain schedule templates to reflect changes in staffing, patient demand, or department priorities.

Clinical Reporting

Create reports within Peoplesoft, Epic, OneStream, and Business Objects systems to analyze historical data and identify process improvement opportunities. Completes forecasting models for new initiatives, identifying areas of opportunity for the department.  Maintain routine reports and identify methods to optimize efficiency. Process data and develop analytical tools to facilitate leadership’s decision making. Integrate data across multiple platforms through Excel and other department applications to create efficient workflows for processing data. Generate data visualizations to provide context for the audience to narrate data patterns. Evaluate and recommend modifications to current operations to improve patient management and business operations across all stakeholders.
Design, develop, and conduct operational assessments such as monthly visit targets, room utilization, and other clinical targets identified by Department of Pediatrics leadership team. Participate in initiatives to determine how processes can be aligned with best practices to achieve optimal results, measurable change, and a quantifiable positive contribution. Develop financial reports, spreadsheets, and protocols to provide fiscal overview for clinical activity to department leadership. Evaluate incremental requests for clinical services and make recommendations based on revenue and cost analyses. Assist with special projects, presentations, reporting, and other duties as requested.

Clinical Dashboard Creation and Management

Design, develop, and customize clinical dashboards both internally and within Epic tailored to the specific needs of various clinical divisions and department leadership. This will require collaboration with the Chair’s Office, Divisional Chiefs, Divisional Administrators, and individual providers to understand their information needs and translate requirements into actionable dashboard designs and functionalities. Work alongside UF and Shands IT to remain compliant with regulatory requirements including Federal, State, and University policies and guidelines. Ensure accurate and timely integration of data from Business Objects and other department data sources into the dashboards, ensuring accuracy, reliability, and comprehensibility of the information provided to users. Develop guides to assist department leadership and providers in understanding their dashboards to increase their effectiveness. Regularly monitor dashboard performance to ensure optimal functionality and user satisfaction. Identify opportunities for enhancements or modifications based on provider feedback and evolving department clinical needs.

Special Projects

Lead projects identified and prioritized by department leadership. Oversee project management by setting priorities, developing action plans, creating deadlines, and assigning responsibility to ensure project completion.  Monitor the effectiveness of ongoing projects while recommending and initiating changes that facilitate effective outcomes.  Set up procedural protocols for assigned projects to ensure continuity of business operations.

All other duties as assigned.

Expected Salary:

$65,000 - $70,000 annually

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

• Master’s degree in business, health administration, or related field
• Two years of professional working experience within a clinical setting
• Experience working with Epic and Business Objects
• Proven high level of experience with data analysis in a healthcare setting
• Ability to professionally communicate both orally and in writing
• Proficient use of computer technology, spreadsheets, and data management
• Analytical problem-solving abilities
• In-depth Excel experience
